Rentals

We are a community hall that is available for use by all ages and activities at reasonable rates. All revenue raised from rentals are used to expand and improve the facilities.

The Estabrooks Community Hall is a volunteer-run organization, which values communities, neighbours and families.

USER FEES

  • A $50.00 NON-REFUNDABALE DEPOSIT IS REQUIRED UPON BOOKING A DATE
  • A fee of $150 for weddings or $100 for a regular event for clean up is also offered if you choose to not clean after your event.

Each Hall is $40 / hour. ( The use of Tables and Chairs are included in price)

  • Friday, Saturday evenings with Bar is $375 (kitchen not included).
  • Weddings are $650 with kitchen included.
  • A fee of $150 for weddings or $100 for a regular event for clean up is also offered if you choose to not clean after your event.
  • Sundays,  2 hour rental is $60.
    * If bar is needed on Sunday $300 for 5 hours.*

If rental is for fundraiser you must apply for event at least 2 months with advance notice. There is a flat 5% fee charged of total amount raised for use of the Hall.  (ie if event raised $5,000, the hall would be paid 5% or $250).

TERMS AND CONDITIONS OF USE:

  • You must be 19 or older to reserve the hall
  • You can not transfer the rental to another person
  • You must respect the property of the hall and all of those people who are in the centre at the time when you are using it.

HOW TO BOOK AND WHAT YOU NEED TO PAY

  • Once you book, you must put down a deposit of 25% that is NON-REFUNDABLE
  • The remainder must be paid 30 days before the event, depending on the event
  • You may use the kitchen facilities at an extra cost.
  • All facilities must be left in their original cleanliness and undamaged condition
  • The hall has a zero tolerance policy towards those who abuse, misuse, or disrespect in any way shape or form of the facilities, the staff and the grounds!

PERMITS AND POLICIES

Effective as of November 2020:

DUE TO NEW COVID RULES FOR SANITATION ARE AS FOLLOWS:

ALL TABLES, CHAIRS, WASHROOMS, FLOORS AND ANY HIGH CONTACT SURFACES WILL BE SANITIZED BEFORE USE.  IT IS THEN THE RESPONSIBILITY OF THE USER TO SANITIZE ALL TABLES AND CHAIRS THAT ARE USED.  WE WILL SANITIZE WASHROOMS AND FLOORS AFTER EACH USE. 

IF A USER CHOOSES TO NOT DO THE SANITIZATION OF ITEMS USED THEN WE WILL ADD A $25.00 CHARGE TO YOUR RENTAL COST FOR US TO SANITIZE ITEMS.

  1. A) The building is open at 9am and closed at 9:15pm. No one is allowed into the building for any reason after that time UNLESS IT IS A SCHEDULED EVENT!
  2. B)The building will be closed during time not allocated.
  3. Building is closed when school is cancelled no exceptions.  In the event of a power outage during the day or night of your allotted time please call the ECH at 902-405-6511  or Wanda Mercer at 902-209-2822 to verify the building is up and running.
  4. After using the building: A) clean and stack chairs
  5. B) wipe, clean and stack tables
  6. C) clean up garage and put to back door
  7. D) sweep floors and mop spills
  8. E) check washrooms, flush toilets, wipe sinks, check stalls for being locked
  9. F) secure all doors and windows, lights off before leaving the building
  10. Doors open 15 minutes before start of your program, meeting or event by a board or committee member,    Unless otherwise stated.
  11. The space (hall) that your program is using is where you should be and not in any other areas of the building.
  12. The adults are the ones running the programs therefore children and youth must be supervised at all times.
  13. Respect others equipment
  14. Rents are due the 1st of every month.
  15. We need to know if you have an issue with the building at the time of your arrival.
  16. Any board member has the right to remove a person due to verbal, sexual, or physical abuse.
  17. Just like you, we are volunteers too
  18. Bookings are considered confirmed when the signed copy of the agreement is returned to the  ECH.
  19. The ECH reserves the right to refuse rental to any organization.
  20. A)  The ECH has the right to withhold renting to any group or individual who has abused the ECH and/or its equipment in the past.
  21. B)  Individuals or groups that, on frequent basis, fail to utilize the facility for which a booking has been made may be denied subsequent use of the ECH.

DEPOSITS REQUIRED

  • non-refundable deposit equal to 25% of the cost is required for all bookings.

WEDDINGS

  • Non-refundable deposit at the time of booking.
  • Payment in full must be received 30 days before the function

BIRTHDAY PARTIES

  • Non-refundable deposit at the time of booking.
  • Payment in full must be received 14 days before the booking.

SPECIAL PARTIES

  • Non-refundable deposit at time of booking
  • Payment in full 30 days before the event

CANCELLATION POLICY

  • One week prior- full refund less the non-refundable deposit, unless the ECH turned down another booking. In that case, no refund.
  • If no other party requested a booking, the ECH will refund the payment less the non-refundable deposit.

USE OF EQUIPMENT

  • The renter shall be liable for the cost of repair or replacement of any item if the renter damages, misuses or abuses any equipment.

DAMAGE

The ECH does not allow the use of nails, tacks, staples, tape to be used on the walls of the function room rented.

  1. sticky tack is allowed
  2. decorations are not to be attached to any fixtures without the explicit approval from the ECH Board of Directors
  3. Renters accept full responsibility for all persons and agree to be held liable for their actions and for any cost associated with repairs, replacement of violations as a result of their (or their guests) actions.
  4. Confetti or confetti like products shall not be used in any way on the rental property surrounding the ECH.
  5. The ECH is a non smoking facility.

APPROXIMATE COST FOR DAMAGES, REPLACEMENTS OR VIOLATIONS AS FOLLOWS:

  • Excess Cleaning: $40.00 per hour
  • Table Repair\Replacement: $100.00
  • Chair Replacement or Repair: $100.00
  • Damage to Wall/Paint: cost of repair or painting

SET-UP

  • The renter is responsible to set up the ECH as well as return the ECH to its original condition.
  • The original condition means chairs and tables stacked, floors cleaned, garbage tied and bagged.

THE ECH FOLLOWS HRM’S RECYCLING PROGRAMS.  CLEAR BAGS, COMPOST BUCKETS AND CANS ARE MARKED AND SHOULD BE DUMPED IN THE LARGE GREEN COMPOST BIN OUTSIDE. 

NO FOOD SHOULD BE IN THE GARBAGE OR RECYCLE CANS!
